Annual General Meeting of the Surrey County Scout Council

8.00 pm on Thursday 12 September 2024,

Cobham Curve, Fairmile Lane, Cobham KT11 2BU

 

As a member of the Surrey Scout Council you are invited to the AGM of Surrey Scouts.

This year will see the constitution of the new board structure as required by The Scout Association in Rule 5, POR.

The new board of trustees will be composed as follows:-

  1. Chair
  2. Treasurer
  3. A District Liaison from the County
  4. A Community Liaison/Fundraising representative
  5. A representative with HR experience/oversight
  6. A representative with property management experience/oversight
  7. A representative with safeguarding experience/oversight
  8. A second youth representative

Ex officio members are the County Lead Volunteer and the County Youth Lead.

 

This will give us a board of 10 if all roles are filled. TSA recommendation is a minimum of 5 and a maximum of 12.

Consequently we are seeking applications by 31st August 2024 for these roles, the role descriptions for which are:-

Chair. This person leads the Board by planning the agenda and leading the meetings as well as the AGM. The Chair also liaises with Lead Volunteers, leads the recruitment for new Trustees, and supports other Trustees

Treasurer.  This person looks after the finances, shares details about income, spend and cashflow with other Trustees, prepares budgets, and ensures that proper accounts are kept. The Treasurer also helps to draw up policies on finance and investment and fundraising and advises on same.

District Liaison. This person has recent experience of leading a District or a Group and has a good relationship with their team.  The DL communicates with the Districts regarding upcoming changes to Scout POR, the Surrey Board of Trustees, required training and other developments that will require local action. The DL will feedback to the Board regarding the current state of local Scouting in Surrey.

HR Representative. This person has a strong current knowledge of contracts and personnel management and will work closely with the paid staff in the County to ensure fair hiring practices. They should be from a professional HR background.

Property Representative. This person has a strong current knowledge of building projects, regulations, and planning, and will work closely with the team at the County Campsite to ensure the correct management of the ongoing improvement initiatives there.  This person will also answer queries regarding properties held by Groups and Districts should they arise. They should be from a professional property maintenance or property development background.

Safeguarding Representative. This person has a strong current knowledge of safeguarding and will be an experienced safeguarding practitioner. They will be able to advise on current trends, changes in legislation and developments in best safeguarding practice. They should be from a professional safeguarding background.

Community Liaison. This person has contacts widely spread throughout the Surrey community and can help arrange fundraising as well as outreach initiatives which may support our Scouting objectives.

Youth representative. This person represents the views of the youth membership alongside the County Youth Lead, but with a greater focus on governance.
